![]() VolunteersQ. Are volunteers going to be compensated?Yes, there are several ways in which volunteers will be compensated depending on certain needs of those volunteering.
- Those who are Oklahoma State University students and faculty who live on campus or in the Stillwater area will be provided meals while they are volunteering. Q. Where are the volunteers coming from? Oklahoma State University students, faculty, and staff, local and state communities, and delegates from universities attending the conference. Q. How many volunteers are needed? 150-300 volunteers Q. How do I sign up to volunteer and what can I volunteer for? Online at nacurh08.com has a tab specifically for volunteers and gives information of all the volunteer opportunities available. Also, details are given on whom to contact in interest of volunteering. Contact deleea.allcorn@nacurh08.com or brandon.mcvey@nacurh08.com for more information. Q. Where will volunteers be staying? Those volunteers who choose to stay with us will be staying throughout the residence halls along with the delegates attending the conference. Q. What training for volunteers will be provided? There will be a training session 2 days before the conference that will be held for all who can attend. For those who cannot attend information packets will provide electronically. Q. How will volunteers be distinguished? Volunteers will be provided with shirts that are a different color than delegate shirts, and have volunteer on them. Mass GatheringsQ. Is Gallagher-Iba ADA accessible?Yes, Gallagher-Iba is ADA accessible. There is seating for ADA on the second level of the arena. Q. If electricity goes out, what is the plan? There is a plan in effect with the University, along with Security that will be put into effect if need be. Q. How far of a walk is it to the banquet? Recommendation would be that you bring comfortable shoes to the banquet. The OSU campus is pretty compact but, the walk will be at least a couple blocks. Q. Can we dance before the events start? You may dance in the concourse level before Gallagher-Iba. Actual seating for the ceremonies will begin twenty minutes before the event. The doors will be open and dancing will be allowed in the concourse level. During the seating, you are allowed to dance in your respective areas. Q. Is there anything we can not bring into Gallagher Iba? No food, drinks, firearms, alcohol, or tobacco will be allowed in the arena. We recommend that all large bags be left in the residennce halls. All bags will checked before the entrance of the arena. Q. When awards are given out, who will go get the awards? Awards will be announced during closing ceremonies. You will not be allowed to send a representative down on the gorgeous court. That representative will be allowed to pick up the awards after closing ceremonies is complete, in the lobby of Gallagher Iba Arena. Q. Will there be assigned seating in G-Iba? Yes, there will be assigned seating in Gallagher Iba. Each Regional RCC will be notified of their seating within Gallagher Iba. EntertainmentQ. What is the entertainment?Please see the entertainment link on the website. Q. Are there day trips? No, but we encourage you to take a look around. There are a number of exciting things to see and do in Oklahoma, so be sure to check our travel guide under the Entertainment section of the website. Q. Is the entertainment going to rock? Yes; we won't make your ears bleed, but yes. Q. Will there be swap shop? Yes, the night of the concert, there will be a Swap Shop stationed in the Student Union. Q. Does it cost anything extra to participate? All of the entertainment is completely free! PhilanthropyQ. What is the philanthropy project?Every school attending NACURH 2008 is challenged to develop and host a fundraiser. This year, creativity is a large part of the philanthropy section and each participating school will formulate and run a fundraiser that displays their talents and special flairs. Some ideas include a battle of the bands, auctioning off paintings, or charity softball games; your own imagination is the limit. We are accepting the following for the Rise School of Stillwater, a school that combines children with developmental disabilities and those without: "Thick" or "Big" size crayons Bingo dabbers (dot art painters) Play-doh Finger paint Collage supplies (yarn, googly eyes, confetti, cut-out shapes) Large sheets of paper Glitter glue Glitter washable tempera paint Copy paper Paper towels Paper plates Paper bowls Board books Misc. art supplies for young children Q. How do we prove we did a focus project? We are working closely with Love Without Boundaries and they will be emailing us every time they receive a donation from a delegate school. HousingQ. Can I stay with my delegation?Yes, you will be able to stay with your delegation. Q. If I'm an advisor and I'm staying elsewhere, can I get in to see my delegation? Yes, if you are an ADVISOR and you are not staying with your delegation, you will have access to your delegation. Q. Can advisors request to have a room near their delegation? Advisors will be placed with other advisors, so they may not be near, but will be on the same floor as their delegation. Q. Can students get in to see their advisors? Students will not have access to buildings to which they are currently not staying. If they need to see their advisor, arrangements will have to be made between the student and the advisor. Q. What is in each room? Every room has air conditioning, bed, desk, chair, closets and dressers. Internet is available in every room as well. Q. How are people being housed? Delegates will be housed with their own delegation but not necessarily by region to allow for more diverse floors. Q. Will linens be provided? We will provide two full-size sheets or two twin-size sheets, a blanket, pillow, pillow case, two towels, and a wash cloth. Q. Will they know if they need to bring towels? No, we will provide you with two towels. DiningQ. I have special dining needs. Will you be able to accomodate me during the conference?Please be assured that Oklahoma State Dining will be more than happy to accommodate any dietary needs for the conference delegates including vegetarian, vegan and kosher. Please provide the necessary information when registering. There will be a place on the registration page for you to inform us of any special needs. Q. What facilities will be used for dining during the conference? The Student Union will be utilized during the conference. It is within great walking distance from housing and many of the programs around campus. http://union.okstate.edu/ Q. How will we go about paying for our meals? Three breakfasts, two lunches and three dinners are included in the individual delegates cost. Lunch and dinner will be set in two rotations. Everyone will be provided with an idnetification card that will have a set amount of money. Anything over that amount will be the responsibility of the individual. ProgrammingQ. How do we register?Registration will be done entirely online. On the programming page there is a link to an online word document; simply fill out the form and return the page by email to programming. Q. What are some important dates? March 3rd: Registration opens March 31st: Registration Closes Q. When will we know top 40 programs? Top 40 programs will be announced as soon as all program evaluation forms have been tabulated. Q. What do we need to bring? Presenters need to bring extra materials necessary for their programs (such as candy if included in program). Q. How will we know if programming changes? If there is a change to programming in any way we will do our best to ensure everyone is notified about it. Changes with program submissions before the conference will be handled by email or phone, while programming changes during the conference will be posted in public areas. Q. How do you select programs? Programs will be selected by a programming committee, composed of students and administrators, based on the following criteria: Quality: Submitted programs will be judged on quality based on other submitted programs and potential benefit within NACURH 2008's framework. Category: Programs will be evaluated against the selected category submitted in. If the program does not fall within the guidelines of the category they will be examined for placement in another category. School and Region: In an effort to receive the broadest range of programs, submissions will be evaluated in terms of their origin. If a school, and to a lesser extent region, has many programs submitted, origin will be considered in an effort to allow all regions and schools to have the opportunity to share their vision. Date and Time Submitted: When all other criteria have been exhausted to select programs date and time of submission will be evaluated. Programs submitted earlier than others will have a slight advantage if decision comes down to last criteria. The selection process will use the criteria in order listed. The main goal is to have the highest quality programs presented. However, category, school and region, and date and time submitted will be used to better differentiate between similar and competing programs. Naturally, quality and category will be used as primary criteria, with school and region and date submitted being used as secondary and tertiary Q. How do I know if my program has been accepted? All applicants will be notified about the status of their programs by email. Q. What amenities are provided? In the rooms programming presenters will have access to computers, and projectors. If you need something else please inform our staff so we can work with you on your needs. Q. How can I contact a programming volunteer? Before the conference programming volunteers can be contacted through email. During the conference volunteers will be stationed around the programming areas so they can be of assistance. Q. How do I get help if I have a problem during my program? Help can be found during a program by contacting a programming volunteer or by visiting the command center located in the Kerr-Drummond Mezz. Q. What is passive programming? Passive programming is a way to present programming ideas without actively presenting them to a group. This is accomplished by laying out your program through pictures and clear descriptions on a tri-fold board to be displayed around the conference. This allows attendees to share programming ideas and still attend programming sessions. Q. Will you be giving different awards for passive programs/active programs? Yes. Active and Passive programs will be judged separately. Q. What technology is being provided? What is an Elmo? All classrooms are equipped with computers running Microsoft XP. Also available in each classroom is an ELMO. ELMO is essentially a digital scanner which allows images to be displayed through a digital projector. The device functions like a typical overhead projector; however instead of using transparencies it can display solid materials. Q. Is there a place for a max/min. on attendees? Yes. On the programming application there is a space for presenters to indicate the amount of attendees their program can accommodate. NBD LiaisonQ. Can we fly into both airports for pre-conference?Pre-conference will have the same standards as Semis, in that Oklahoma City is the requested airport for arrival. We will have transportation to Stillwater only for those arriving at the Oklahoma City Will Rogers World Airport. Q. When does transportation info need to be turned in? Transportation information can be submitted at any time. The deadline for transportation information will be determined and delivered to the NBD via the listserv. Q. Where are pre-conference boardrooms? Pre-conference boardrooms will be located in the lounges on the floor of the Village where the NBD will be housed. There are two lounges per floor. One lounge will be utilized for the boardroom and the other will be used for meals. Q. If we arrive early, do we need to provide our own transportation? If your travel information is turned in on time, transportation from the airport will be provided, even if you arrive early. Q. What's the cap? Or the max number of people you can accommodate? Oklahoma State University is capable of accommodating up to 5,000 people for this conference. Due to this, there is no delegation cap. Q. Is there wireless in corporate and boardroom? Yes, there will be wireless in both corporate and the boardroom. Wireless login passwords will be provided to conference attendees. Q. Will there be shuttles for RBD and NBD? There will be a shuttle providing transportation to and from the airport for both the RBD and the NBD. This will be for pre-conference purposes. Once on campus, the only shuttle transportation available will be the OSU Bus System. Security and Transportation Info for nacurh08.comSECURITY FAQsIs OSU a safe campus?When comparing crime at OSU to other institutions of similar size, you'll find OSU's crime rate to be one of the lowest. In fact, OSU has one of the lowest crime rates in the Big XII. Check out our current crime statistics and our Public Safety Guide before coming to campus. No matter how safe a campus-or a NACURH conference-is, the possibility of crime is still present. You are responsible for your safety at all times. Be aware of your surroundings, walk with a buddy at night, report suspicious activity, and program emergency phone numbers into your cell phone. Oklahoma State University is protected by a campus police agency consisting of 32 sworn officers, 10 support persons, and 14 part-time persons. The OSU Police Department is operated and available 24 hours a day, 365 days a year. Authority of the sworn officers is derived from state statutes, which allow for full police powers on OSU property. All campus police officers undergo an extensive selection process and meet state-mandated training requirements. Hallmarks of OSU Police efforts include: - 24/7 preventive patrols - Campus foot patrol by uniformed officers - Campus bicycle patrol by uniformed bicycle officers - Crime intervention - Criminal investigation - Blue light emergency phone system - Fire and Security Alarms in all buildings - Some parking lots and areas monitored by surveillance cameras - Lighting surveys In addition, the OSU Police enjoy an excellent working relationship with their colleagues at the Stillwater Police Department and mutual-aid agreements are in place to assure combined response to any large-scale emergency. Who do I contact in case of an emergency? If a member of your delegation experiences a medical emergency, requires police assistance, or is involved in any emergency, immediately contact the NACURH '08 Command Center. The NACURH '08 Command Center is operational 24/7 for the duration of the conference and will summon appropriate emergency responders and NACURH staff members. You may also contact the OSU Police directly by dialing 911 or 405-744-6523. If you dial 911 from a cell phone, immediately inform the dispatcher that you are calling about an emergency on the OSU campus so your call can be routed appropriately. What is security going to be like at the conference? OSU and NACURH '08 have made efforts to provide you with relevant information and implement a volunteer-based security program during the conference, but we are not guarantors of absolute safety. Specific security measures during the conference include: - Access-controlled residence halls - Routine NACURH Security patrols through residence halls - Foot and golf cart patrols at major events - NACURH '08 Command Center operates 24/7 for the duration of the conference. - Multiple short wave FMR-S radios for communication What is a Command Center? The 24-hour Command Center is the nerve center of the security operation at NACURH 2008. It will be located in the Kerr-Drummond Mezzanine and will be staffed continuously throughout the conference. This restricted-entry location will coordinate the NACURH security effort, dispatch student security, make contact with the OSU Police, and prioritize calls for service. Please call the Command Center at any time you need help during the conference. The phone number will be posted during the conference. How is OSU going to keep delegates out of the bars? Delegates are adults and are responsible for their own behavior while at NACURH 2008. Each advisor is responsible for communicating and enforcing expectations with their delegates. According to NACURH policy, delegates-regardless of age-shall not possess, sell or consume any alcohol or illicit substances at any NACURH-sponsored event, including national conferences. All delegates are student leaders and should strive to show by example that college students can have fun and be safe in the absence of alcohol and other drugs. Delegates found violating this policy will be subject to immediate documentation and conference sanctions, including conference ejection. What are special weather considerations? NACURH '08 will occur during tornado season in Oklahoma. Our part of the country is known for tornados, and the possibility of a tornado during May in central Oklahoma is not remote. Please review OSU's tornado safety tips before coming to the conference. What medical treatment is available? The NACURH '08 conference staff will have limited medical supplies for minor incidents. Advanced medical treatment is available from the Stillwater Medical Center, which is immediately adjacent to campus. Stillwater Medical Center is a 128-bed, not-for-profit, city-owned acute care general hospital serving patients in a six-county area of north central Oklahoma. In addition, the OU Medical Center in Oklahoma City (about 65 miles from Stillwater) is the state's Level I Trauma Center with a wide range of emergency capabilities. How do I keep myself safe while traveling? The OSU Police offer a few quick tips for personal safety and property security: - Be cautious of strangers. - Avoid getting into vulnerable no-exit places. - Do not hesitate to call police when confronted by unknown persons. - Keep your house or residence hall room locked. - At night, walk in groups of at least two. - Walk with confidence, and avoid walking near bushes and parked cars. - Familiarize yourself with the location of emergency telephones. - When parking, remove valuables from plain view and lock your vehicle. - Engrave your valuables with your driver's license number and record serial numbers. - Make copies of credit cards and other valuables in your wallet. - Report all incidents and losses to police immediately. TRANSPORTATION FAQs How do I get to OSU? Stillwater is in central Oklahoma. Delegates are welcome to drive or fly into the conference. Stillwater is able via commercial flights arriving in Tulsa International Airport (77 miles away from campus) and Will Rogers World Airport (Oklahoma City; 75 miles). NACURH '08 will operate a shuttle service from both airports to campus from 7:30 a.m. to 11 p.m. on May 15 and May 16. Individual accommodations outside these scheduled shuttle times are typically not possible, so please plan your arrival schedule accordingly. This is an opt-in service that your delegation must register for. There will likely not be room on the shuttles for delegations that arrive without having registered for shuttle service. What's the scoop on the NACURH '08 Airport Shuttle Service? NACURH '08 will operate an arrival shuttle service from Tulsa International Airport and Will Rogers World Airport to our Stillwater campus from 7:30 a.m. to 11 p.m. on May 15 and May 16. When your flight arrives, check in with the NACURH '08 transportation team in the airport. The shuttle will pick you up near baggage claim in each airport and drop you off at the conference registration site on campus. Plan for approximately a 90-minute trip between the airport and our Stillwater campus. Departure service after the conference will be from 3 a.m. to 5 p.m. on May 19. We will be making a schedule after registration closes of specific departure times from Stillwater to the airport via out shuttle service. You will be able to choose a departure time for your delegation from available time slots at check in. Please plan on choosing a time 3.5 hours before your flight departure time. Individual accommodations outside these scheduled shuttle times are typically not possible, so please plan your arrival schedule accordingly. Our shuttle fleet is a made up of luxury coach style charter busses, which average a capacity of 55. Each bus can accommodate a moderate load of passenger luggage. The ridership fee includes round trip transportation for your entire delegation based upon delegation size: - 1-5 people is $50 - 6-10 people is $90 - 11-15 people is $135 - 16+ people is $150. This is an opt-in service that your delegation must register for. Please be sure to sign up for the shuttle service when you register! Be sure to provide flight information on your registration form as there will likely not be room on the shuttles for delegations that arrive without having registered for shuttle service. How do we get back to the airport for our return flight after the conference? Departure service will be from 3 a.m. to 5 p.m. on May 19. This is an opt-in service that your delegation must register for prior to your arrival in Stillwater. NACURH '08 recommends you arrive at the airport about two hours prior to flight departure time. Plan for a 90-minute return trip on the bus. So, you should plan leave Stillwater about 3.5 hours before your flight departs. A flight that departs at 2 p.m. should be on a bus leaving Stillwater no later than 10:30 a.m. We will be making a schedule after registration closes for departure time from Stillwater to the airport via out shuttle service. You will be able to choose a departure time for your delegation from available time slots at check in. If you require an emergency return to the airport during the conference or have another extreme circumstance, please contact conference staff to inquire about individual arrangements. What if I am arriving late or leaving early? If you are arriving or departing anytime other than the times the NACURH '08 shuttle service is operating, you are responsible for your own ground transportation. Shuttle service will be running from both airports to campus from 7:30 a.m. to 11 p.m. on May 15 and May 16. We will also be providing return shuttle service on May 19 from 3 a.m. to 5 p.m. Can we rent cars at the airport? You may choose to rent cars from any of a variety of car rental services at each airport. However, using the shuttle service we provide will typically prove far cheaper than renting a car or van. Will I encounter toll roads on the way? This depends on which direction you are coming from and which route you choose. Please see a complete map at www.pikepass.com. How much does on-campus parking cost? Delegation parking is free! There will be designated sections blocked off for NACURH 2008. Please be careful to park in designated spots. The OSU Parking Authority will be actively ticketing in other lots during the conference. Can we park a bus? Yes. We have specific parking lots designated for buses and charter vehicles. What if my flight info changes? If the flight information you provided on your registration changes prior to the day of your travel, please email us at TnS.NACURH08@gmail.com. On the day of your travel, please call our Transportation Headquarters directly for any flight information changes or delays. Is transportation ADA accessible? Absolutely. Please indicate specific needs on your registration. What's the transportation scene during the conference? OSU is a pedestrian campus, and transportation around the facility for program sessions, large events, etc., is typically not necessary. Delegates with mobility issues should contact us directly at TnS.NACURH08@gmail.com to arrange transportation. Please be prepared to walk outside in rain, high winds typical of Oklahoma, and other inclement weather conditions. THE BUS is the campus and community transit service operated by Oklahoma State University, with service to various campus and community destinations. All NACURH delegates ride FREE during the conference with a valid NACURH '08 identification. THE BUS provides fixed route transit services throughout the OSU campus and the Stillwater community on a total of seven routes.
